Public Record Requests

All municipal records, with the exception of exempted records identified by the Florida Public Records Law (F.S.119), shall be open for personal inspection by any person, at any responsible time, under reasonable conditions, and under the supervision of the City Clerk's Office.

For the purpose of this policy, "reasonable" time to provide access to public records is during normal working hours - Monday through Friday, 8 am to 5 pm. "Reasonable" as it relates to a time frame to retrieve records and/or complete a records request is not defined by the Florida Legislature, and for purposes of this policy it will depend upon the complexity of the request, location of records, and the schedule of the custodian or designee.

The following fees apply to each public records request. All fees imposed for duplication of public records will comply with the Public Records Act, in Florida Statute, Chapter 119.07:

Paper Copies

(Paper sizes include 8 ½ inches by 11 inches and 8 ½ inches by 14 inches)

  • Single-sided black and white $0.15 per page
  • Single-sided color $0.20 per page
  • Double-sided black and white $0.20 per page
  • Double-sided color $0.30 per page

Audio & DVD Recordings

  • $1 per CD/DVD

Other Copies

  • Actual cost of duplication

Certified Copies

  • $1 per copy (in addition to the copy costs)

Electronic Copies

  • No charge

Copies of County and City maps or aerial photographs may be reproduced and a fee for the material used for those duplications.

There is no charge for the first 15 minutes of staff time to provide the information requested. Any request that takes more than 15 minutes will be charged at the lowest administrative hourly rate.

The City of Bartow will accept cash, personal checks, money orders, certified checks, or payment by credit card. All fees shall be paid prior to the delivery of the materials. Any check, money order, or certified check shall be made payable to the "City of Bartow".
